
Cornwall Geologist Terms and Conditions
These terms and conditions govern the use of the website and services provided by Cornwall Geologist. Services provided by Cornwall Geologist, known as “activities”, include guided walks and tours, talks, educational workshops and field trips, and consultation. By booking and participating in any activities, or interacting with the website, you agree to the following Terms and Conditions.
1. Privacy
1.1. Personal Information: Any personal information collected by Cornwall Geologist will be stored and processed in accordance with the Cornwall Geologist Privacy Policy. Cornwall Geologist will not share personal data with third parties except as required for the delivery of activities you have requested or as required by law. Participants have a right to opt out or withdraw their consent at any time by contacting Cornwall Geologist.
1.2. Photographs and Recordings: Cornwall Geologist may take photographs or videos during activities for social media or marketing purposes. By agreeing to these Terms and Conditions you consent to Cornwall Geologist using images and recordings that include you. If you do not wish to be photographed, please select the opt-out option when booking an activity or notify Cornwall Geologist via email.
2. Customer service
2.1 Booking and Payment
2.1.1 Booking Process: Activities must be booked in advance. Bookings can be made through the website, or via email. A confirmed booking is subject to availability.
2.1.2 Booking Confirmation: A booking is only confirmed once a confirmation email or receipt has been sent to you. It is your responsibility to check that all booking details are correct and to notify Cornwall Geologist immediately of any discrepancies.
2.1.3 Payment: Full payment is required at the time of booking unless otherwise agreed. Any activities that are invoiced separately require payment within 14 days of the date of the invoice. Cornwall Geologist accepts payment by credit/debit card, bank transfer, Apple Pay, Google Pay, and PayPal.
2.1.4 Booking Fees: Cornwall Geologist uses Wix.com as its website platform, which applies non-refundable transaction fees. To cover these costs, some activities may include an additional booking fee. This will be clearly explained during the booking process.
2.1.5 Additional Fees: Additional fees may apply to some activities. Private events, educational activities and consultancy work may come with additional costs (e.g., travel expenses, room bookings).
2.1.6 Third-Party Services and Costs: Participants are responsible for any additional third-party costs during an activity (e.g., cark park charges, refreshments, or subsistence). Cornwall Geologist is not liable for any parking fines received during an activity. Cornwall Geologist is not responsible for the quality, availability, or pricing of third-party services (e.g., parking, refreshments, transport) that participants may choose to use before, during, or after an activity.
2.2 Cancellation Policy
2.2.1 Participant Cancellations: If participants wish to cancel a booking, please notify Cornwall Geologist as soon as possible. Cancellations made up to 48 hours before the activity will receive a full refund. No refunds will be issued for cancellations less than 48 hours before an activity. No refunds will be issued for no-shows. No refunds will be issued for cancellations that break participants’ agreement to these Terms and Conditions.
2.2.2 Company Cancellations: Cornwall Geologist reserves the right to cancel any activity or end an activity early due to unforeseen circumstances (e.g., safety concerns, bad weather or sea conditions, staff illness). Participants will be notified of any changes to scheduled activities, which could occur anytime up to the start of, or in some instances during an activity. In the event of a company cancellation before an activity takes place, participants will be offered a full refund or the option to reschedule. No refunds will be issued for changes to pre-planned routes or timings made due to unforeseen circumstances (e.g., weather, participant preferences, group pace).
2.2.3 Low Booking Numbers: Some activities require a minimum number of participants to make it financially viable to run. If the minimum number of bookings is not achieved within 24 hours of the activity taking place it will be cancelled or rescheduled, and participants offered a full refund or the option to reschedule.
2.3 Feedback and Complaints: Cornwall Geologist encourages constructive feedback to help improve its services. Participants can provide feedback through surveys or online reviews (e.g., Google, TripAdvisor). Any complaints should first be directed to Cornwall Geologist via the contact details below, and Cornwall Geologist will strive to address them promptly and professionally.
3. Operational Guidelines
3.1 Activity Leaders: All activity leaders will have a background in the relevant subjects covered in an activity, and undergo regular training on safety. Activity leaders are responsible for ensuring the safety and enjoyment of all participants.
3.2 Group Size: The maximum group size for each activity will be determined based on its logistics and safety requirements to ensure that activity leaders can manage the group effectively. Some activities require a minimum number of participants to make it financially viable to run. Cornwall Geologist reserves the right to adjust group sizes for activities based on safety or other logistical factors.
3.3 Age Restrictions: Some activities may have minimum age restrictions. This will be clearly advertised with the event information. Children under 18 years old must be accompanied by a parent, guardian, or carer, who is responsible for their supervision during an activity. Age restrictions and supervision guidelines are further defined in the Cornwall Geologist Safeguarding Policy.
3.4 Equipment
3.4.1 Clothing and Equipment: Participants are advised on appropriate clothing and equipment in advance of an activity, including footwear, weather-appropriate clothing, and sun protection. It is the responsibility of the participant to wear appropriate clothing and footwear, and bring all necessary personal equipment for the activity, including subsistence and medication.
3.4.2 Personal Protective Equipment (PPE): PPE requirements are dictated by the hazard and risk assessment for an activity. If required, this is likely to include hi-visibility clothing for walking near roads or head protection if working under unstable cliffs. Cornwall Geologist is responsible for providing any PPE as required by the risk assessment. If no PPE is available, the activity will be modified to ensure it is safe.
3.4.3 First Aid Kits: Activity leaders will carry a basic first aid kit for minor injuries, and participants are encouraged to bring their own personal first aid kit and any necessary medications. Activity leaders will carry emergency action plans, including procedures for contacting emergency services.
3.5 Itinerary Changes: Cornwall Geologist reserves the right to alter an activity itinerary, cancel an activity, or end an activity early due to unforeseen circumstances (e.g., adverse weather, safety concerns, staff illness). Where possible, participants will be notified in advance.
3.6 Health Considerations: Some activities may involve physical demands that could impact a participant’s health and fitness. Detailed information for all activities will be provided on the website. It is the responsibility of the participant (or person acting on a participant’s behalf, e.g., carer, parent, guardian) for assessing if they and anyone in their booking are in a suitable physical condition to take part in the activity. Cornwall Geologist reserves the right to refuse participation to anyone who may be at risk to themselves or others on an activity.

3.7 Late Arrivals: Participants are expected to arrive at the designated meeting point on time. Late arrivals may forfeit their booking without a refund. If a participant is running late, they must contact Cornwall Geologist as soon as possible to determine if alternative arrangements can be made.
4. Health and Safety
Cornwall Geologist is committed to providing a safe and healthy environment for all participants involved in the activities it provides. Details of health and safety management, including emergency procedures, first aid, and monitoring, are provided in the Cornwall Geologist Health and Safety Policy. The aim is to minimise risks and prevent accidents by taking proactive measures to ensure the safety of all.
All participants who take part in activities organised by Cornwall Geologist must agree to the terms of the Health and Safety Policy before booking. Participant responsibilities include:

Complying with safety instructions given by Cornwall Geologist and follow all safety protocols to minimise risks.

Exercising common sense and ask the activity leader for instruction if unsure of what to do at any time.

Ensuring they wear appropriate clothing and footwear and bring all necessary personal equipment for the activity, including subsistence and medication.

Providing personal information for themselves and anyone else in their booking for safety purposes, including a contact phone number, email address, next of kin details, and any relevant medical conditions or physical limitations prior to an activity taking place.

Taking responsibility for assessing whether they and anyone else in their booking are in suitable physical condition to participate in the activity.

Signing a digital or physical acknowledgment to confirm they have read and agree to the terms of this policy.
5. Accessibility
Cornwall Geologist is committed to ensuring services are as accessible as possible to all. The goal is to provide a welcoming and inclusive experience, whether taking part in activities or visiting the website. The Cornwall Geologist Accessibility Statement outlines efforts made to meet accessibility standards whilst conforming with safety and ethical guidelines outlined in the Cornwall Geologist Health and Safety Policy and Safeguarding Policy.
It is the responsibility of the participant (or person acting on a participant’s behalf, e.g., carer, parent, guardian) for assessing if they and anyone in their booking are in a suitable physical condition to take part in the activity.
Participants must inform Cornwall Geologist of any accessibility or health concerns before an activity takes place so advice can be given and any adjustments made.
Participants must acknowledge activity accessibility guidelines by agreeing to these Terms and Conditions before booking an activity.
Cornwall Geologist reserves the right to refuse participation to anyone who may be at risk to themselves or others on an activity. No refunds will be issued to participants if they are unable to take part in or complete an activity, unless under exceptional circumstances before or during an activity.
6. Safety, Ethical, and Environmental Conduct
Cornwall Geologist will uphold the highest standards of safe and ethical conduct in all of its activities, committed to treating all participants with respect, regardless of background, identity, or ability. By taking proactive measures to ensure safety and practicing respect, honesty, and integrity in all dealings, Cornwall Geologist strives to provide a safe, inclusive, and friendly environment for all.
Cornwall Geologist is also committed to promoting environmental sustainability in all aspects of its activities. By adhering to guidelines outlined in the Cornwall Geologist Environmental Policy, Cornwall Geologist aims to minimise its environmental impact, protect and respect the landscapes it explores, and inspire and educate others to appreciate and care for the environment.
Participants are also expected to follow these standards, by adhering to the Cornwall Geologist Code of Conduct. Any form of discrimination, harassment, or misconduct will not be tolerated and will be dealt with promptly.
Cornwall Geologist reserves the right to refuse participation to anyone who may be at risk to themselves or others on an activity or fails to comply with any of the rules outlined in this policy. Any reports of misconduct will be investigated, and appropriate action will be taken, which may include removal from activities or further legal action.
7. Liability and Insurance
7.1. Liability: Cornwall Geologist accepts no liability for any injury, loss, or damage to participants or their property while on an activity, except where such injury or damage is directly caused by Cornwall Geologist’s negligence or failure to comply with UK health and safety legislation.
7.2. Insurance: Cornwall Geologist carries appropriate public liability insurance. However, it is recommended that participants arrange their own personal insurance for activities, covering health, accident, and loss or damage to personal belongings.
8. Intellectual Property
All materials provided on the website and during activities remain the intellectual property of Cornwall Geologist unless otherwise stated. Participants may not reproduce, record, or distribute any content without prior permission from Cornwall Geologist.
​9. Force Majeure
Cornwall Geologist will not be liable for any failure to perform obligations due to circumstances beyond reasonable control, including, but not limited to, natural disasters, strikes, and other unforeseeable events.
10. Governing Law
10.1. Jurisdiction: These Terms and Conditions shall be governed by and construed in accordance with the laws of the United Kingdom, and any disputes shall be subject to the exclusive jurisdiction of the courts in England and Wales.
10.2 Permits and Licences: All permits and licenses required for any activities undertaken will be obtained and maintained by Cornwall Geologist and any relevant third parties.
11. Changes to Terms and Conditions
Cornwall Geologist reserves the right to amend or update these Terms and Conditions at any time. Any changes will be communicated via email or posted on the website. It is your responsibility to review the Terms and Conditions before each booking.
